Contractors

A construction site where neighbours know what is coming, and you know what was promised

For contractors, HelloStreet is one place to announce nuisance per phase, receive reports from neighbours with a place on the map, answer them consistently and keep a register of every agreement, from condition surveys to delivery times.

The situation

Fourteen months, one crane and a street of terraced houses

A contractor renovates and extends a school in a narrow street of terraced houses. There is a crane, deliveries every morning, a few weeks of piling and a footpath that has to close for a while.

Neighbours accept a lot if they know what is coming and who to call. What causes conflict is surprise: a truck at 6:30, a closed driveway without notice, cracks in a wall that nobody recorded beforehand.

The contractor usually inherits the promises the client made during the permit phase. Without a clear record, the site manager finds out about them from an angry neighbour.

What neighbours ask

  • What time do the trucks arrive?
  • How long will the footpath be closed?
  • Who records the state of my house before the piling starts?
  • Who do I call when something goes wrong in the evening?

A typical project, step by step

From handover to the last day on site

This is how a site in a busy street usually runs, and how HelloStreet helps in each phase.

  1. Step 1: Handover

    Take over the client’s promises

You win the contract. During the permit phase, the client already made agreements with the neighbours.

Didn’t they promise no trucks would drive past the school?

    With HelloStreet

The commitments from the permit phase are in the register, with their status. You add your own site agreements.

  2. Step 2: Before the start

A letter and a condition survey for every door

Two weeks before the start. Piling is planned and the footpath will close.

Who checks my facade before the piling starts?
What you hear in the neighbourhood
    With HelloStreet

A letter with a QR code for every address in the street, with the schedule, the site manager’s number and an appointment for the condition survey.

  3. Step 3: On site

    Announce disruption before it happens

Deliveries every week, a tower crane and a few days of noisy work.

    Half past six again tomorrow?

    With HelloStreet

You announce each phase in advance. Followers get a notification; the rest of the street reads it on the project page. HelloStreet prepares the site hoarding with the QR code to the project page.

  4. Step 4: Reports

    Five reports, one signal

Dust, a blocked driveway, a crack in a wall. Reports come in via the site phone, email and the project page.

A truck has been in front of my garage all morning.
What you hear in the neighbourhood
    With HelloStreet

Everything arrives in one inbox, with place and theme. When five neighbours report the same thing, the site manager gets one signal instead of five separate messages.

  5. Step 5: Milestone

    Show what is moving forward

The highest point is reached. The children can see their new classrooms grow.

When will the footpath open again?
What you hear in the neighbourhood
    With HelloStreet

An update with a photo in Progress in pictures, with the next step and the date the footpath reopens.

  6. Step 6: Completion

    Close with a complete record

The work is done. What was promised has to be ticked off.

And who repairs the damage to my driveway?

    With HelloStreet

The log shows every report, every reply and every commitment with its date. The client gets an overview, and open points are listed honestly.

Example

Extension of De Linde primary school

Hoeveld (a fictional town) · 14-month site · 90 addresses in the street

A contractor builds a new wing on a school that stays open. The street is narrow, children come on foot and by bike, and neighbours had trouble with another site before.

  1. Before the startA letter to every address with the phasing, the delivery window (9:00 to 15:00, avoiding the start and end of the school day) and the site phone number.
  2. Week 2Condition surveys at the eight houses next to the excavation, logged as a commitment with status ‘agreed’.
  3. PilingAnnounced a week ahead on the project page and by email; two reports of vibration are followed up with place and time.
  4. HandoverAn overview for the client: all reports, how they were handled and which agreements are still running.

The site manager, the client and the school work from the same overview, and neighbours know who to contact.

Illustrative example. The place, people and figures are fictional.

Questions and answers

Can the client and the contractor share one project?

Yes. The client sees the commitments made in the permit phase, the contractor adds the site agreements, and neighbours see one project page.

Can site staff log a call on the spot?

Yes. A call or a visit can be logged in a few seconds, also by voice, and lands in the inbox with the address and the theme.

Do neighbours need to install an app to report something?

No. A neighbour reports via the project page in the browser, with a place on the map. Anyone who wants the app for push notifications can use it; calls are logged by your team.

Can we notify a different street or zone per phase?

Yes. For each announcement you choose which streets or which zone receive it. The street with the closure hears about it, and the rest of the area is not bothered unnecessarily.

How does it help with damage claims?

Condition surveys, reports, replies and agreements are in the log with date and place. In a discussion about damage, you see at once what was recorded and agreed beforehand.

Can we make the site hoarding in the client’s house style?

Yes. The design uses the logo and colours you set, yours or the client’s. You get a print-ready file for your own printer.
